Terms and Conditions

Last updated: 7 June 2026

Welcome to Tibbits Teaching & Tuition. These Terms and Conditions explain how tuition is arranged, how fees and cancellations work, and what families can expect from lessons.

1. TUITION ARRANGEMENTS

• Tuition sessions are delivered on a one-to-one basis or in small groups, depending on the service booked.
• Sessions are planned to meet the individual needs of each pupil and support progress towards agreed goals.
• Tuition sessions are typically 50 minutes in length unless otherwise agreed.

2. FEES AND PAYMENT

• Tuition fees are payable monthly in advance.
• Invoices are issued on the 20th of each month for the following month's tuition sessions.
• Payment must be received no later than the 29th of the month.
• Tuition fees reserve a regular weekly tuition slot and are not based solely on attendance at individual sessions.
• Failure to make payment by the due date may result in tuition being suspended and the reserved tuition slot being offered to another family.

3. NOTICE PERIOD

• Either party may terminate tuition by providing four weeks' written notice.
• Any fees due during the notice period remain payable.

4. CANCELLATION AND ABSENCE

• Tuition fees reserve a regular weekly tuition slot.
• If a pupil is unable to attend a session, parents should provide as much notice as possible.
• Missed sessions are normally non-refundable and cannot be rearranged.
• At the tutor's discretion, up to three sessions per academic year may be rearranged where at least 48 hours' notice has been provided.
• Regular tuition fees remain payable regardless of attendance, as the reserved tuition slot cannot usually be offered to another pupil at short notice.

5. ONLINE LESSONS & LEARNING ENVIRONMENT

• All tuition provided by Tibbits Teaching & Tuition takes place online.

• Parents and carers are responsible for ensuring that pupils are ready to begin their lesson at the agreed time and have access to a suitable device, a reliable internet connection and any materials requested for the session.

• Pupils should join lessons from a quiet, appropriate and distraction-free environment wherever possible, allowing them to focus fully and make the most of their tuition time.

• For younger pupils, a parent or responsible adult should remain available within the home for the duration of the lesson should their assistance be required.

• Parents and carers remain responsible for the supervision, safety and wellbeing of their child while participating in online tuition from home.

• Pupils are expected to behave respectfully and appropriately during online sessions. Tibbits Teaching & Tuition reserves the right to end a session where behaviour prevents effective teaching or creates an inappropriate online learning environment.

6. SAFEGUARDING

• The welfare of all pupils is a priority.
• Tibbits Teaching & Tuition holds an enhanced DBS certificate and follows appropriate safeguarding procedures.
• Any safeguarding concerns will be managed in accordance with relevant guidance and procedures.

7. COMMUNICATION AND FEEDBACK

• Parents are welcome to contact Tibbits Teaching & Tuition regarding progress, concerns or questions.
• Messages and emails will be responded to as soon as reasonably possible, typically within two working days.
• Regular feedback is provided regarding progress, strengths and next steps.

8. BEHAVIOUR EXPECTATIONS

• Pupils are expected to behave respectfully towards the tutor and other pupils.
• Persistent disruptive, unsafe or inappropriate behaviour may result in tuition being withdrawn.

9. EMERGENCY INFORMATION

• Parents or carers must provide a current contact telephone number that can be used if necessary during an online tuition session.

• Parents or carers should inform Tibbits Teaching & Tuition of any additional needs or other relevant information that may affect their child’s learning or participation in online sessions.

• Parents or carers are responsible for ensuring that this information remains accurate and up to date.

• As tuition takes place online, responsibility for the pupil’s physical supervision, safety and wellbeing remains with their parent or carer throughout the session.

10. EDUCATIONAL OUTCOMES

• Every effort will be made to support pupils in developing confidence, knowledge and academic progress.
• whilst every effort will be made to support progress, confidence and academic development, specific grades, scores, school places, Kent Test outcomes, SATs results or examination results cannot be guaranteed.
• Progress depends on a range of factors, including attendance, engagement, independent practice and circumstances beyond the tutor's control.

• Resources are supplied for personal educational use only and must not be copied, shared or distributed without permission.
